Portal Terms of Use

These terms govern the use of the OTS customer portal. They apply to everyone who signs in — the person who opened the account, colleagues they invite, and anyone given access to a single site.

They are about using the portal. They are not the contract for the work. If you accept a price here, the Terms of Sale govern that contract, and nothing on this page changes them.

If you do not accept these terms, do not use the portal.

You sign in with a link sent to your email address. There is no password. Whoever can read that mailbox can reach the account, so treat access to it as you would a key.

The account belongs to your company, not to you personally. When you leave, the account holder can remove your access.

Do not share a sign-in link, and tell us if you think somebody has reached the account who should not have.

What a person can do in the portal depends on the role they were given by whoever invited them.

Three things vary independently:

• what they may see — some roles read quotes and reports, others read less;
• which sites they may see, because a person can be given one site rather than the whole account;
• whether they may approve a price at all, and up to what amount.

The account holder decides all three, and is responsible for who is invited and at what limit. An approval made within a person’s limit binds your company.

Some accounts are set up and managed by a partner of OTS rather than by the site owner. Where that is so, the partner’s staff can see the accounts and sites they manage for you.

You may ask us at any time who has access to your account. If you object to a partner’s access, tell us and we will deal with it.

Before your own inspection data has been loaded, some screens show sample data so that you can see how they work. It is illustrative, it is not about your building, and it is labelled as such.

The portal summarises your last inspection: how many findings there were, how severe they were, and when the next one is due.

Those summaries describe the inspection they came from, on the day it was carried out. They are not a statement that your racking is compliant or safe today, and they carry the same limits as the report itself.

The portal does not watch your racking. It is not a monitoring or alerting system, and nothing in it changes between inspections because something happened in your warehouse.

When using the portal you agree not to:

• share your sign-in link, or let somebody use the portal as you;
• collect data from it automatically, or access it other than through the pages we provide;
• try to reach an account, a site or a document you were not given access to;
• represent to anyone else that racking is in a condition beyond what a sealed report or certificate actually states.

We do not guarantee that the portal is available at any particular time. We may interrupt it for maintenance, for security, or because something we depend on has failed.

Your reports and certificates are also documents. If the portal is unavailable and you need one, ask us and we will send it.

We may suspend or withdraw access where these terms are broken, where an account is being used in a way that puts other customers’ information at risk, or where we are required to.

Losing access to the portal does not affect work already agreed, or what either of us owes the other for it.

A price you approve in the portal is accepted under our Terms of Sale and Service. Those terms say when a contract is formed, what the price covers, how invoicing and payment work, and how either of us may end the work.

They are shown to you before you approve, and the version you were shown is recorded with your acceptance.

How we handle personal information in the portal is described in our Privacy Policy, including what we collect, where it is held and what you can ask us to do with it.

These terms are drawn up in French, and the French version governs. An English version is made available so that you can read them in English.

We may change these terms. The version in force is the one published here, and it carries a date.

Where a change matters to how you use the portal, we will bring it to your attention rather than relying on you noticing the date.
